Privacy Policy

This Privacy Policy explains how Geoff Banks-Smith trading as Recruitment Hub (“we”, “us”, “our”) handles personal data. We are the controller. Trading name: Geoff Banks-Smith trading as Recruitment Hub. Address: 306 Block A, 2 Hulme Street, Salford, M5 4ZB. Email: enquiries@recruitmenthub.info. We are not VAT registered. Effective 26 August 2026.
This policy applies to candidates using coaching services, employer contacts, website visitors, and anyone who books a call or emails us.
1. What we collect
Identity and contact data: name, email, phone, LinkedIn URL, and similar details you give us.
Career data: CVs, work history, target roles, interview notes, and feedback we produce for you.
Recordings: video and audio of discovery calls, mock interviews, Showcase interviews, and Screen & Share first-round interviews, plus transcripts where we create them.
Employer data: company name, hiring contacts, role briefs, and commercial correspondence.
Payment data: billing name, email, and payment status. Card details are handled by Stripe — we do not store full card numbers.
Technical data: IP address, device and browser type, and pages visited, to the extent our hosting provider logs them.
We do not routinely collect special category data. If a CV or message includes it (health, ethnicity, or similar), we only use it if needed for that request.
Source of data: you; employers who instruct us; public LinkedIn and job boards when we search for a live vacancy.
2. Lawful bases
Contract, or steps prior to contract: coaching, CV and LinkedIn work, recordings, Screen & Share, placement search, taking payment, and keeping the booking record.
Legitimate interests: answering enquiries, running and securing the site, and improving the service from session notes. We do not sell personal data.
Legal obligation: tax and accounting records; records we must keep under the Conduct of Employment Agencies and Employment Businesses Regulations 2003.
Consent: sharing a candidate recording with an employer; any email or WhatsApp marketing. We do not send marketing unless you ask. You can withdraw consent by emailing enquiries@recruitmenthub.info. Withdrawal does not undo processing already completed.
3. Recordings
Mock interviews and Showcase recordings are produced for the candidate. The candidate may use and send their own recording. We will not send a candidate recording to an employer without that candidate’s prior consent.
Screen & Share interviews are recorded so the hiring manager can review first-round performance. Candidates are told they are being recorded before the interview starts. Recordings are shared only with the client that instructed that campaign, and with the candidate on request.
You may ask us to delete a recording. We will do so unless we must keep it for a legal claim, a complaint, or a contractual dispute.
4. Processors
Hosting: Vercel / xAI Grok hosting.
Email: Hostinger.
Booking: Calendly.
Payments: Stripe, when payment is taken. We do not store full card numbers.
Operations: Notion.
Video tools for recordings (for example Loom or similar).
LinkedIn, where you connect or we search for a live vacancy.
AI tools we use to help draft feedback or transcripts.
We remain responsible for how those providers are used.
International transfers: some providers process data outside the UK. Where they do, we rely on a UK adequacy regulation or the UK Addendum to the EU Standard Contractual Clauses.
We share candidate data with an employer only where you are in a Screen & Share or placement process for that employer, or where you have asked us to share a Showcase recording. We disclose data if required by law, a regulator, or to establish or defend a legal claim.
5. How long we keep it
Coaching records and recordings: up to 24 months after the last session, unless you ask us to delete sooner.
Employer campaign files: up to 24 months after the campaign ends.
Placement and introduction records: up to 12 months after the later of introduction or end of any rebate period, and longer if needed for a fee dispute.
Invoices and accounting records: 6 years.
Website logs: as retained by our host, typically 30–90 days.
6. Your rights
Under UK GDPR you may ask for access, correction, deletion, restriction, objection, or portability, and you may withdraw consent. Email enquiries@recruitmenthub.info. We will respond within one month.
You may complain to the Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, SK9 5AF, ico.org.uk.
7. ICO registration
We are a sole trader processing client data. We will register, and stay registered, with the ICO for the data protection fee. We do not print a registration number on this page. Check the public register at ico.org.uk/ESDWebPages/Search.
8. PECR
No marketing emails or WhatsApp blasts without consent. A transactional reply to an enquiry you sent us is fine.
9. Children
Our services are for people aged 18 and over. We do not knowingly collect data from children.
10. Changes
We may update this policy. The effective date at the top of this page will change. Continued use of the site or services after a change means you have had notice of the new policy.
